A secure, consistent workflow for a sensitive, long-running public-health research programme.
The requirement
Public Health Wales commissioned transcription for several hundred interviews exploring the effect of police work on officers’ mental health. The material was highly sensitive, several researchers were uploading recordings, and completed transcripts needed to reach one central project contact.
The challenge
The organisation required an accredited supplier with robust cyber-security controls. Its researchers also needed more detail than standard intelligent verbatim, without the extra material and cost of full strict verbatim. Different file-naming habits created a further risk of confusion across a large, continuing dataset.
Our response
TP Transcription supplied the required Cyber Essentials evidence and used a secure UK-hosted transfer workflow. The team worked with the client on trial transcripts until the correct level of detail was agreed, then turned that decision into a written instruction set for every transcriber. A single naming convention connected each source recording to its returned transcript regardless of the uploader’s original filename.
The outcome
The customised specification made the transcripts consistent and suitable for the research team while the centralised workflow simplified administration. The relationship continued over the life of the project, with positive feedback on security, quality and service.
