
Universities and large organisations often have funds that cannot be carried into the next financial year. Transcription for a confirmed research or operational programme can be a legitimate use of that allocation, provided purchasing and data-governance requirements remain in place.
Plan what the budget is buying
Estimate recorded hours, speaker numbers, editing level, languages, turnaround and likely recording dates. Decide whether the order will use a purchase order, an advance invoice or staged billing. The quotation should explain what happens if the eventual volume differs.
Do not postpone governance
Before any personal data is uploaded, confirm ethics approval where relevant, the lawful basis, controller and processor roles, security method, retention and deletion. Advance payment does not require recordings to be transferred before the project is ready.
Reserve a consistent workflow
For a larger programme, agree templates, file names, anonymisation and delivery batches at the outset. A pilot file can be completed first and the instruction sheet corrected before the full dataset begins.
